Check out and deposits

All money goes through Shopify POS. ShopTech never takes a payment itself; it puts the right lines and the right customer on the cart, and reads the result back when the sale is paid.

Check out a work order

1. Open the Work Orders tile and pick the job.
2. Choose Check Out. ShopTech puts the customer on the cart and adds every unpaid line at the work order’s price. Labor and custom lines go in as custom sales; products go in as the Shopify product with a line discount to match the work order’s price; warranty lines are discounted to zero.
3. Complete the sale in POS as usual.

When Shopify reports the order paid, ShopTech marks those lines paid. If the work order was already Completed, it’s marked picked up as well. A job paid before the work is finished stays open until you Mark as Picked Up at hand-over.

A work order needs a customer before it can be checked out. If it was created without one, add the customer in ShopTech first.

Deposits

A deposit is money taken before the work is done or the part arrives.

1. From the Work Orders or Special Orders tile, choose Take Deposit. Enter an amount, or use the percentage shortcuts on a special order.
2. Add deposit to cart adds a non-taxable “Deposit” line. Complete the sale.

The deposit becomes store credit on the customer in Shopify. ShopTech shows it on the work order or special order as paid on account.

At pickup, apply the store credit

When you check out the job later, POS doesn’t apply store credit on its own. ShopTech reminds you with Apply store credit at payment. Choose Store credit as a payment method for the deposit amount, then take the rest however the customer is paying. Skip this and the customer is charged twice.

Refund a deposit by refunding the Shopify order that took it. The store credit is reversed automatically. A work order with a deposit held can’t be voided until it’s refunded.

Pay in full for a special order

Pay in full now on the Special Orders tile sells the part before it arrives. Stock goes negative until the part is received, and the order is marked paid, so at pickup you simply Hand over to customer.

Draft orders in Shopify admin

While a work order or special order holds parts, ShopTech keeps a draft order in Shopify tagged shoptech with a note like “[ShopTech WO-000123]”. It exists only to reserve inventory. Don’t complete or delete these drafts in Shopify admin; ShopTech removes them when the job is done.
